Privacy notice

This notice explains what personal data Casie collects, why, and what your rights are. It covers two things: this website, and the Casie service that supported housing providers use to run their records.

Who we are

Casie is built and run by its founding team in Birmingham, trading as Casie. For anything in this notice, email hello@casie.co.uk. We will update this page with the company’s registered details once it is incorporated.

This website

When you request a demo, we collect your name, work email address, organisation, role and the approximate number of tenants you support, plus a phone number if you choose to give one. We use these details to respond to your enquiry and arrange your demo. If you email us directly, we hold your name, email address and what you wrote so that we can reply. We keep that correspondence for as long as we are in contact and delete it when it is no longer needed.

Our demo form uses Brevo to process and store your request in our contact management system so we can arrange your demo and follow up on your enquiry. Submitting the form does not subscribe you to marketing emails.

The website’s fonts and styling are served by Casie. Brevo provides the demo form and receives your IP address when your browser requests its form resources.

Cookies

We do not use analytics on this website. The demo form loads content from Brevo; information about its use of cookies and similar technologies is available in Brevo’s privacy policy. The Casie service at app.casie.co.uk sets one strictly necessary cookie to keep you signed in. It does nothing else and expires when your session ends.

The Casie service

Supported housing providers use Casie to keep records about the people they support: support notes, welfare checks, support plans, risk assessments, sign-up documents and the files councils ask for. That information is personal data, and some of it is special category data about health or offending history.

For that data, the provider is the controller and Casie is the processor. We act only on the provider's instructions under a written agreement. If you are a tenant and want to know how your information is handled, the provider that supports you is the right first contact; we will help them answer you.

Where it is stored

Records, documents and recordings are stored in the United Kingdom, in London, and travel over encrypted connections. Each organisation's data is kept separate from every other organisation's.

Sub-processors

We use a small number of suppliers to run the service. Each is bound by contract to protect the data and to use it only to provide the service to us.

We will update this list before adding a new sub-processor and tell customers in advance.

Staff accounts

Support workers and managers sign in with a work email address and a PIN. We hold their name, email, role and the actions they take in the service, because an audit trail of who recorded what is part of what the service is for.

How long we keep it

Records are kept for as long as the provider instructs us to keep them, which is normally the retention period their council and regulator require. When a provider leaves Casie, they can download every tenant's file, and we delete their data after an agreed handover period.

Your rights

Under UK data protection law you can ask for a copy of the personal data held about you, ask for it to be corrected or deleted, object to how it is used, and complain to the Information Commissioner's Office at ico.org.uk. For data on this website, email us. For data in the Casie service, contact the provider that supports you; we will assist them.

Changes

If this notice changes in a way that matters, we will say so here and, for customers, by email.
